ADMINISTRATIVE ASSISTANT
Job Description


Reporting Relationship:
This position reports directly to the Executive Director, but maintains working relationships to the additional positions of President, Vice President, Historian-in-Residence, Collection Manager, Project Manager, and Facilities Manager.

Basic Description of Responsibilities:
Portraying a friendly, positive attitude is very important, as this position is often the first employee to greet visitors.  Duties include: maintain data bases for customer base, membership base, newsletters, and gift giving; liaison for project manager and facilities manager regarding customer/author relations, correspondence management, and project scheduling; answer telephones, transfer calls and deliver messages in a timely fashion; production of written and oral correspondence as needed; daily pick up and distribution of mail; maintain office calendars; order and maintain office supply inventory; schedule travel arrangements; responsible for the physical site of the Administrative Office; manage a multi-line telephone system in a professional manner; use of a personal vehicle, as needed.  The supervision of student workers by delegating specific responsibilities, appropriate authority, and direction to them is an important aspect of the position, because of the close relationship between the Foundation and local universities.  There will be occasional evenings, weekends, and out-of-town travel as necessary to support the Foundation’s activities.  The position requires the ability to address fluid situations as they arise.  Additional duties not listed may be required as situations arise.

Education, Experience, and Skills:

Minimum requirements: High school diploma required. Minimum of 3 years work experience in an office setting, with increasing responsibilities and an advanced understanding of office methods, procedures, and practices; the ability to lift a minimum of 30 lbs.  Computer literacy is required, with knowledge in Microsoft Office, including Word, Outlook, Excel, Publisher, and Access.  Writing/proofreading skills and an understanding of the English language (both written and oral) are required.  Organization, prioritization, judgment, and problem-solving skills will be challenged.  The ability to train, motivate, and manage student workers in an office environment is essential.  This employee should: be a team player, with the ability to work in a multifaceted, entrepreneurial organization and to handle various special projects on an ongoing basis, while addressing daily needs for the office; be attentive to daily appearance; and maintain good housekeeping traits.
